JOB SUMMARY
We are seeking a highly organized, professional, and detail-oriented Executive Assistant to provide administrative and clerical support to senior leadership within the 55th Wing Office of the Staff Judge Advocate (55 WG/JA) at Offutt Air Force Base, Nebraska.
The Executive Assistant will serve as a trusted administrative resource, supporting leadership through calendar management, correspondence, document preparation, data entry, records management, meeting coordination, communications, and other executive administrative functions. The successful candidate must demonstrate excellent judgment, discretion, communication skills, organization, and the ability to handle sensitive information with a high degree of confidentiality.
RESPONSIBILITIES
- Provide comprehensive administrative and executive support to senior leadership and office personnel.
- Manage calendars, appointments, schedules, meetings, conferences, and other leadership engagements.
- Coordinate meetings and maintain schedules to ensure deadlines and commitments are met.
- Prepare, edit, proofread, and maintain correspondence, memoranda, reports, presentations, spreadsheets, briefing materials, and other documents.
- Draft and manage professional emails and written communications.
- Serve as a primary administrative point of contact between leadership, internal personnel, external agencies, installation organizations, and community partners.
- Answer and appropriately route telephone calls, emails, and in-person inquiries.
- Perform accurate data entry and maintain administrative databases and electronic records.
- Track deadlines, deliverables, action items, and matters requiring leadership follow-up.
- Attend meetings and conferences as requested and prepare or coordinate follow-up actions.
- Scan, upload, organize, retrieve, and maintain electronic and physical records.
- Handle sensitive personnel and organizational information in accordance with applicable privacy, security, and confidentiality requirements.
- Apply appropriate military administrative practices, office procedures, and protocol.
- Maintain professional relationships with installation personnel, government representatives, and external organizations.
- Provide general office management and clerical support as required.
- Ensure administrative products are accurate, complete, professional, and delivered within established deadlines.
WORK SCHEDULE
Monday–Friday, 7:30 AM–4:30 PM, excluding Federal Holidays
QUALIFICATIONS
- Associate’s degree in any field.
- Minimum 1 year of clerical or data-entry experience in an office environment.
- Minimum 1 year of experience working in a military environment.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
- Excellent written and verbal communication skills.
- Strong organization, attention to detail, and time-management skills.
- Ability to work independently and meet deadlines.
- Must be able to successfully complete required federal background, fingerprint, and security investigations.
